PYBA Meeting Minutes

8/29/24 Tailgate Tavern, 7-9PM

Present:  Steve, Brandon, Amy, Joe, Erin, Allison, Jessica, Mel, Aaron

Gym Update: 

Monson and Pathfinder may have time, but not much

Boys and Girls Club is a No

Scantic Valley Y would have variable times

Baptist Church confirmed no gym

PHS is mostly weekends

OMP is mostly weekdays

Scheduling for Palmer Schools will go through Melissa Petrashiewicz

Fees for PHS is $25 daily flat fee plus Janitor hourly fee

Fee for OMP is $25 daily flat fee

Likely this will mean 2 practices or 1 practice/1 game per week. 

We will try to put 3/4 and instructional at OMP and older kids at PHS as much as possible

Belchertown Old Town Hall may also be available for $25 rental fee, but times are variable 

Joe and Tony met with St Thomas. Floor needs repair and is likely only useable half court at this point but if PYBA will partner with St Thomas to repair, it can become our new gym in the future. More to come after St Thomas has their board meeting in September.

Scheduling:

Suburban will need guaranteed time blocks. This made scheduling difficult last year when they did not use blocked time. More to come.

Registration:

Reviewed possible budget based on 17 teams of 10 players with no sponsorships considered.

Instructional: $60

3/4 Rec: $175

5-8 Rec: $185

Suburban: $252

Much discussion about these rates. Other towns are significantly cheaper. 

Would need to raise at least $4,000 to bring rates to last years prices

Deadline for determining cost will be 9/12

Sponsorships:

Steve would like to take over fundraising. Erin will email lists, request letter, and 501c3 award letter.

Allison, Jessica, Michelle & Erin met with Town Manager and Barbara. They are unwilling to help financially but did offer to reach out to Pathfinder and Camp Rahmah. We discussed holding another meeting in October to express our needs and that there is no assistance from the town for Youth Sports.

Ideas include cash calendar, superbowl squares, restaurant night

Awards for sponsorship since we can no longer hang banners could be league photo, plaque, social media blast, article in the Reminder, recognition on our website
